Managing Orders: One Inbox for Shopify, WooCommerce, POS & WhatsApp

2 min read

Orders from all channels land in one place with a consistent status flow. From here you confirm orders, review customer and line-item details, add notes, and hand them off to courier booking — whether they came from Shopify, WooCommerce, POS or WhatsApp.

The order lifecycle

Fresh online orders start as “not shipped” — the bookable state. Once you book a shipment, the order mirrors the courier’s status (booked, in transit, delivered, returned). Cancelled orders are excluded from booking.

Confirming COD before you dispatch

For cash-on-delivery, confirm the customer genuinely wants the order before spending on shipping. With WhatsApp enabled, you can confirm directly in chat — see WhatsApp CRM — cutting return-to-origin (RTO) losses.

From order to shipment

Confirmed orders move into shipment booking, individually or in bulk. The shipment carries the customer, city and COD amount through to delivery and reconciliation.

Exports and hands-off automation

The orders list exports to CSV and to a branded PDF for sharing or accounting. To skip the manual steps entirely, Automations can react to a new or changed order — tagging the customer, adding a note, blocklisting a serial returner or even assigning a courier — based on rules you set.

Step-by-step

  1. 1

    Open Orders

Filter by channel or status to find what needs attention.

  2. 2

    Review the order

Check items, customer details and city; add a note if needed.

  3. 3

    Confirm

Verify COD orders (ideally over WhatsApp) before committing to shipping. Heed any blocklist warning for serial returners.

  4. 4

    Book the shipment

Send confirmed orders to a courier from here or via Bulk Booking.

Frequently asked questions

What does “not shipped” mean?

It is the default state for a fresh order — confirmed-or-not, it is eligible to be booked with a courier. After booking, the status reflects the courier.

Can I see which channel an order came from?

Yes, each order is tagged with its source channel and store/site.

Do POS and WhatsApp orders appear here too?

POS and WhatsApp orders are recorded in their own flows and roll up into your unified order and revenue figures.

Troubleshooting

An order will not appear in Bulk Booking.

Only orders in the “not shipped” state are bookable. Cancelled or already-booked orders are excluded by design.

A confirmed order shipped to the wrong city.

Verify the shipping city on the order before booking; couriers use the address captured at checkout.
